Ask two AI assistants to prepare a customer service reply. One produces polished prose; the other includes the order reference, applicable warranty terms and unresolved questions. The difference often lies in habits experienced staff rarely write down: which field to check first, which promises to avoid and when to ask a manager. As AI takes on work, that experience needs a form that others can use.
A recent signal: reusable ways of working
At Gemini at Work in October 2026, Google highlighted reusable skills and an enterprise skills registry. For businesses, this points to an opportunity to capture methods that departments use repeatedly. The implementation advice below is Millionasia’s design perspective, rather than a product guarantee; feature availability needs checking against the relevant offering and rollout.
A skill is a working manual for AI
Tools let AI retrieve an order, read a file or create a draft. A skill explains when to use them and how to complete a class of work. A service skill might first identify the order and applicable warranty version, then organize the problem, list missing information and prepare a reply. A knowledge base supplies material, tools perform operations, and skills connect steps with judgment. This architectural distinction does not imply that skill formats are interchangeable across platforms.
Start with one recurring task
Consider an equipment service company handling repair inquiries each week. This is an illustrative scenario, not a delivered Millionasia customer project. Its first skill could prepare an intake draft: read the case, identify the model, summarize the fault and flag a missing serial number or photograph. Reducing the time staff spend finding information gives the pilot a clear acceptance target before attempting liability decisions, quotations or dispatch.
Add examples, exceptions and a deliverable
An SOP that says “check the warranty and reply” leaves much unstated. A useful skill defines eligible cases, required inputs, lookup order, output format and handoff conditions. A mismatched serial number stays unresolved; a similar model is not treated as the same machine. Conflicting document versions remain attached for an owner to resolve. Include an accepted draft and a common failure example so the team can agree on quality.
Connect the system’s rules as well as its data
Google’s October SMB article describes design agency Sunhouse using Gemini Enterprise to find archived design work in Google Drive. That illustrates easier access to existing information. Taking a result into a transaction requires additional business rules. Established software or approved rules should determine repair charges, tax and warranty eligibility; AI can organize evidence, explain it and prepare drafts. External commitments, official record changes and dispatch should follow company authorization and approval processes.
Give each skill an owner and a version
An instruction to respect permissions cannot replace backend authorization. Systems must check identity and access scope for each operation; instructions inside external documents do not automatically become company policy. Record the skill owner, version, effective date and policy versions it relies on. Keep passwords and keys in controlled credential management. If a platform can improve its own skills, review proposed changes before allowing them to affect production work.
Validate against real cases
Use approved, de-identified historical cases covering complete inputs, missing information, expired terms and insufficient access. Compare preparation time, omissions, manual corrections and attempted unauthorized actions on the same cases before and after adoption. Repeat the exercise when models, tools or warranty terms change. If quality falls, restore the earlier version and retain the reason and correction history.
Millionasia’s perspective: maintain company expertise
Skills become useful when business knowledge and system integration develop together. Managers explain decisions, frontline staff contribute exceptions, and engineers connect data, permissions and verifiable outputs. Begin with a well-defined workflow and preserve each improvement as a reusable method. That is how a company can steadily build an AI working capability of its own.
