AI can turn a supplier quotation into a table in seconds. Colleagues still need to know whether a price includes tax, when a delivery period starts, and whether an updated attachment changes the terms. Useful business data must help people answer these follow-up questions, not simply provide a readable summary.
A recent signal: answers should carry their sources
On September 21, 2026, AWS described EXL’s intelligent document processing solution, combining extraction, summarization, and queries with source links and human validation. This is a publicly described AWS and EXL case, not a Millionasia client result. Our takeaway is that the ability to check evidence quickly belongs in document AI acceptance criteria. The following recommendations are Millionasia’s proposals for ordinary business workflows.
Separate what the document says from what the system infers
Text recognition reads words; field extraction organizes items, quantities, and delivery terms; models may also infer missing information. These outputs deserve different treatment. If the source says shipment is four weeks after a deposit arrives, an unknown deposit date must not become a definite shipping date. Preserve the original wording, label calculations as derived, and leave missing conditions pending. RAG can retrieve relevant passages, but retrieval alone does not prove the conditions were understood.
Keep five pieces of information with each field
For a delivery field, retain its value, source document and version, page or passage location, supporting excerpt, and review status. A review screen can show the original beside extracted fields and open the relevant location when a field is selected. For calculated values, also retain the formula and evidence for each input. A citation helps a reviewer check the answer; its presence does not establish that the answer is correct.
A hypothetical purchasing precheck
This example is illustrative, not a delivered project. A buyer uploads a quotation and supplementary attachments. The system identifies document types and versions, then extracts currency, pretax amount, shipping fees, validity, and delivery terms. If one document excludes freight while another includes it, show both passages and ask the responsible person to resolve their applicability. Keep missing values empty with a reason instead of substituting a customary assumption. Produce a purchasing draft after review; submission still follows the existing approval process.
Carry versions and permissions into the integration
When a website form or app receives files, create a case ID and original-document version before extraction, rule checks, and review. Bind approval to the documents and values that were reviewed. Replacing an attachment should reopen affected fields. Source previews, summaries, search indexes, and downloads must share the appropriate access restrictions. Treat instructions embedded in a document to send data or change rules as document content, never as authority to act.
Test exceptions as well as clean examples
Begin with one frequent document type and authorized samples stripped of unnecessary identifying information. Include blurry scans, tables spanning pages, different currencies, contradictory attachments, and missing fields. Have domain staff label correct values and supporting passages. Measure field accuracy, source-location accuracy, missed human handoffs, and total review time. Confidence scores are routing signals whose thresholds need validation on your own data. Stopping when evidence is absent should count as correct behavior.
Millionasia’s perspective
Much of document AI’s value lies between upload and submission. Connecting originals, fields, evidence, versions, and ownership makes websites, apps, knowledge systems, and administration tools easier to operate together. Start with one document type and one review screen. Expand automation after colleagues can verify results faster and spend less time correcting them.
